CASE STUDY · WEALTH INDUSTRY EDUCATION

How a wealth-industry institute stopped running events by hand

A membership institute for the wealth industry ran every event the same way: an invitation sent by hand, a form that did not talk to the contact list, and reminders someone had to remember. Registration, confirmation, two reminders, the meeting template and attendance were wired inside the institute's own platforms. The team ran the end-to-end test and it held.

The Task

Every event, by hand

The institute runs roundtables and sessions for its members through the year. Each one meant an invitation sent by hand, registrations copied from a form into the contact list, a meeting link pasted into an email, reminders sent when someone remembered, and attendance that never made it back to the member's record. Small, repeated, and on the plate of the person who also runs marketing and administration.

What Was Built

Wired inside what they already had

No new tool. The registration form, the confirmation email, a reminder a week out and a reminder the day before for anyone not yet registered, a reusable meeting template and a field on each contact for the last event attended, all configured inside the institute's own marketing platform and meeting tool. One template set to copy for each new event. Export of attendance back to the contact record.

The Test

They ran it, not me

The chain was proven on real sends: invitation, form, confirmation, day-before reminder, and the nudge workflow releasing anyone who registered. The team ran the end-to-end test themselves and confirmed it worked. An operator guide names every piece so the next event is a copy, not a rebuild.

What It Is Not

An operational fix, not an AI program

It surfaced during discovery on a larger piece of work. It is on this page because it is the kind of small, finished thing a membership organization owns outright and never thinks about again. The larger piece is a separate conversation.

About This Engagement

Questions About This Case Study

No. Everything runs inside the platforms the institute already paid for. The setup is a template set they copy for each event.

A setup inside the platforms the institute already had, built in working sessions with the team and verified on real sends by the institute's own staff.
